Comprehensive Guide to Backing Up Google Workspace Email

A backup email involves copying essential files from your inbox and saving them locally or on a cloud server, allowing for immediate restoration of the original document in case of loss.

a) How do I recover mailboxes in Google Workspace ?

1. First, click on Google Workspace.

2. To restore backup data from multiple Google Workspace organizations in the Network Protection Service, select the organization whose data you want to restore. Otherwise, skip this step.

3. To restore a deleted user’s mailbox, expand the Users node, select All Users, and click Recovery. If the user has been deleted, select them in the Cloud App Backups section and click Show Backups. Wildcards are not supported.

4. After that, select a recovery point.

5. Next, click “Recover” to select the entire mailbox.

6. To view, change, or specify a target organization for multiple Google Workspace organizations added to the network protection service, click on Google Workspace organizations. If the original organization is no longer registered, select a new target organization from the available registered organizations.

7. To restore to mailbox to a new one, create a target mailbox in the desired G Suite organization and let the cloud agent synchronize the changes. The cloud agent automatically synchronizes with Google Workspace every 24 hours. To sync changes immediately, select your organization on the Google Workspace page in the service console and click Refresh.

8. Then, click on “Start Recovery”.

9. After that, select one of the overlay options:

  • Overwrite existing items
  • Do not overwrite existing items

10. Finally, click “Proceed” to confirm your decision.

b) How do I recover mailbox items in Google Workspace ?

1. First, click on Google Workspace.

2. To restore backup data from multiple Google Workspace organizations in the Network Protection Service, select the organization whose data you want to restore. Otherwise, skip this step.

3. Then, expand the Users node, select All Users, and select the user whose mailbox contained the items before click the Recovery button. If the user has been deleted, select the user in the Cloud App Backups section of the Backup Storage tab and click Show Backups. You can search by name, but wildcards are not supported.

4. After that, select a recovery point.

5. Next, click on “Recover” to select the email messages.

6. Then, navigate to the desired folder and use search if the backup isn’t encrypted to find the desired items, but wildcard characters aren’t supported. Below is the search available:

  • Email search options include subject, sender, recipients, date, attachment name, and message content, with full-text search enabled during backup. Additional parameters include the language of the message fragment.
  • For events, search by title and date.
  • For contacts, search by name, email address, and phone number.

7. After that, click on the “Recover Folder” icon and select the desired items.

Besides that, you can do any of the following:

  • Select an item, click Show Contents to view its contents, including attachments, and click on the attachment’s name to download it.
  • To restore a backup without encryption, select an item in the search results and click “Show versions” to view the backup version, which can be earlier or later than the selected recovery point.

8. Next, click Recover.

9. To view, change, or specify a target organization for multiple Google Workspace organizations added to the network protection service, click on Google Workspace organizations. If the organization is no longer registered, select a new one.

10. The Restore to Mailbox feature allows users to view, change, or specify the destination mailbox, which is typically the original one, unless it is selected as non-original.

11. The Path feature allows users to view or modify the destination folder in the destination mailbox, with the default selection being the original folder.

12. After that, click on “Start Recovery”.

13. Next, select one of the overlay options:

  • Overwrite existing items
  • Do not overwrite existing items

14. Finally, click “Proceed” to confirm your decision.
